Automating your agency's enquiries without losing a single one

Most contact forms rely on a single link: the email. The day it breaks, enquiries disappear silently. We went through it on our own website.

A seller fills in your valuation form on a Sunday evening. The website shows “Thank you, we will get back to you”. The message leaves by email for the agency's inbox. If sending fails, nobody knows: neither the seller nor you.

What happened to us

On our own website, the form's email sending has already failed once. The form worked; the sending service behind it stopped. As long as an enquiry exists only as an email, one sending failure is enough to make it disappear.

So we changed the order of operations. Every enquiry is first saved in a database, then the email is sent. If sending fails, the enquiry stays readable on an admin page. And if the database is unavailable, the email still goes out: one never blocks the other.

What is worth automating

  • Saving every enquiry, before anything is sent.
  • The acknowledgement to the seller, with the stated response time.
  • Assigning the enquiry to the right agent, by municipality or property type.
  • Reminding the agent if the enquiry has not been handled after a set time.
  • The enquiry's origin: Google, advertising or social media, to know which channel brings in instructions.

The last line requires the visitor's consent as soon as it relies on a cookie or an identifier. On our website, the arrival channel is only kept with that consent, for the length of the visit, and nothing is passed to a third party.

What not to automate

The reply itself. A seller entrusting the sale of their home expects a person, not a generic message. Automation is there so that this person receives the enquiry on time, with the right information, and cannot forget it.

That is the approach of our automation and AI service: tools that protect every enquiry and free up time for the relationship.

Questions to ask yourself before automating

  • Where is each enquiry stored, and for how long?
  • Who can read it, and with what access?
  • What happens if a tool fails: who gets alerted?
  • Does the seller know what happens to their data?

A seller's contact details and the description of their property are personal data. Automating them does not exempt you from knowing where they go: on the contrary, every tool you add is one more place to protect. Your website's privacy policy should say so plainly.

An automation is tested like an alarm: regularly, and for real. Once a month, send a test enquiry through your own form and check that it arrives everywhere it should: in the database, in the agency's inbox, with the agent concerned. Note the date of each test. The day a client says they never got a reply, you will know whether the path was working.

What a client says

« Merci à KLIX Digital pour la création de mon site Web et référencement Je recommande fortement, et j’ai de très bons résultats » (Translated from French: “Thank you to KLIX Digital for building my website and its SEO. I strongly recommend them, and I have very good results.”)

What to remember

  • A form that only sends an email can lose enquiries silently.
  • Save first, send next, without one blocking the other.
  • Automate receipt, assignment and reminders, not the reply.
  • Measure the arrival channel, with the visitor's consent.
